Procedural Changes for Exam Grading and Scanning Services

At the request of UC faculty, UCit restored centralized drop-off exam grading for the 2004-05 academic year. The service is more popular than ever. Faculty use of the service increased over 100% from the previous academic year. In order to clarify the mission of the service and keep the process running efficiently, we would like to remind UC faculty of the following principles of operation:

  • All services are performed on a 24-hour turnaround basis. There are no exceptions. UCit will notify instructors by phone or e-mail when the exams are ready to be picked up.

  • All exam response sheets must have student identification numbers coded on the form. Exam grading staff will not process any forms without an identification number or without the corresponding circles filled in. Each student must have a unique identifying number.

  • UCit staff will not alter response sheets under any circumstances. This includes sheets rejected because of multiple marks, incorrectly coded versions, sections, IDs, etc. Directions for completing the answer sheets are on the exam grading website.

  • UCit will only scan the 5-item blue response sheet (form NSC 4521) and the 10-item green response sheet (form NSC 4887). Faculty can obtain these forms from Central Stores.

  • Faculty who use multiple versions of the same exam, or multiple sections of the same class need to code the forms appropriately.

  • All users need to submit a completed Exam User Form with each batch of exams for grading. Exam grading staff will not process any exams without a completed form. An updated User Exam Form can be printed from the exam grading website (examuserform.pdf) or completed while submitting exams for processing. UCit will not accept old User Exam Forms.

  • UCit will store results for each quarters exam data until grades are due for the relevant quarter when records will be purged (exceptions for Law College based on semester system).

  • Effective spring quarter, UCit will no longer maintain cumulative data results for each quarter. Faculty who need assistance creating grade logs can receive help from the Faculty Technology Resource Center.

Also effective spring quarter, UCit will ask users of the exam grading service to sign a Service Level Agreement (SLA). A signed SLA will be necessary for exam grading staff to process exams. Faculty can accept the terms of the agreement electronically:
