Credential Files for Education Majors

Important links for users of UC's credential files service:

You can have your credential files managed professionally, or you can manage them yourself. Both of these options are explored below...

Professional management:

  • Reference Now is one company that provides professional credentials file management online for a charge of about $2/month. To find out more about Reference Now, visit their website at www.ReferenceNow.com and select the "Applicants" link.

Personal management:

  • Self-Managed Credentials File
A credential is a letter of recommendation that attests to your professional training and experience. Credentials are typically expected as part of the employment process for individuals seeking employment in educational settings. A self-managed credentials file consists of signed letters of recommendation written by references which are administered, collected, maintained and sent by you directly to prospective employers. Some individuals may wish to include examples of work, contact reference information, writing samples, as well as other documents that they would like to make available to a potential employer.

  • Letters of Recommendation
    Letters of recommendation come from:

    • A school district (cooperating teacher, administrative supervisor)
    • A university (academic advisor, student teaching supervisor, faculty)
    • A previous employer (summer job, work study, internships)
    • A leadership or community service affiliation (organization administrator or advisor)

Process for obtaining your letters of recommendation:

    • References may provide letters of recommendation to the candidate on their organization's letterhead.
    • For the writer's convenience, enclose a self-addressed, stamped return envelope.
    • After you have received the letter of recommendation, it is appropriate to send a thank you letter to the writer.
    • It is suggested that you limit the number of recommendations to five (5), which is adequate for the majority of employers.
    • Candidates should retain a copy of original letters of recommendation.
    • Letters of recommendation are sent directly to prospective employers.

  • How materials should be sent:

    • All application materials should be sent in a 9 x 12-inch envelope. Address labels should be typed in the recommended United States Postal Service format using all capital letters and removing all punctuation.
    • A signed receipt verifies that your credentials reached the desired destination for your records.

  • Transcripts
The transcript is your permanent university student record. It is suggested that
candidates purchase one official transcript from the Office of the Registrar,
513 556-9900, to keep as your personal copy and include copies of it with your
    credentials materials.
