A document or batch number must be
specified. Operational offices, such as Accounts Payable and Financial
Services, mainly utilize this query to locate the microfilm for a specific
document or group of documents that were filmed earlier. Microfilming
takes place in the Accounting Resource Center (ARC). The main source of
documents are the offices of Accounts Payable and Financial Services.
The microfilm index includes the fiscal years
from 1996 through 1999. Beginning with fiscal year 2000, the documents
are scanned into an imaging system located in ARC.
In well over 70 percent of the cases, the filmed
documents are Payment Vouchers (PV's) and the document numbers are based on the
preprinted number found on the voucher jacket or label. Others, such as
Travel Authorizations, Petty Cash Reimbursement and Cash Receipts, also utilize
a preprinted document number from the document itself. Accounting
documents, such as JV, TV and IX documents are identified by the fiscal period
(month-year) in which they were processed.
