Semester-Based Policies and Procedures

The University of Cincinnati is converting to the semester system in Fall 2012. With the academic calendar due to change, policies and procedures such as admission dates must also change to reflect the new term dates.

Changes

Undergraduate Student Class Levels

Original (quarter-based) policy: Class levels for students at the University of Cincinnati are determined based upon a student’s academic program and the total number of credit hours accumulated (total transfer hours plus UC hours earned) at the start of the quarter.

A student’s class is determined as follows:

Changes made to the policy: The semester-based credit hour breakdowns are based upon the provost-mandated minimum of 120 credit hours for a baccalaureate degree.

Semester-based dates and deadlines

Freshmen

Fall semester deadline: Dates may vary by college and program. Please visit the Undergraduate Admissions Application Deadlines page for more information.

Spring semester deadline: Apply by Nov. 1; confirm by Dec. 1.

Example: For freshmen admission in Spring 2013, apply by Nov 1, 2012.

Summer semester: Apply by March 1; confirm by April 1.

Example: For freshmen admission in Summer 2013, apply by March 1, 2013.
 

Transfer Students

Fall semester deadline, College of Design, Architecture, Art, and Planning (DAAP): Apply by June 1; confirm by July 1.

Example: For transfer admission to DAAP in Fall 2012, apply by June 1, 2012.

Fall semester deadline, all other uptown colleges: Apply by July 1; confirm by Aug. 1.

Example: For transfer admission to the College of Business in Fall 2012, apply by July 1, 2012.

Spring semester deadline: Apply by Nov. 1; confirm by Dec. 1.

Example: For transfer admission in Spring 2013, apply by Nov. 1, 2012.

Summer semester deadline: Apply by March1; confirm by April 1.

Example: For transfer admission in Summer 2013, apply by March 1, 2013.
 

Satisfactory Academic Progress Review Timeline

Original (quarter-based) policy: At the end of spring quarter each year, the academic records of all students who are receiving or applying for federal financial aid will be reviewed.

New (semester-based) policy: At the end of spring semester each year, the academic records of all students who are receiving or applying for federal financial aid will be reviewed.

Changes made to the policy: Since the spring semester will end at an earlier date than the spring quarter, SAP (satisfactory academic progress) will be reviewed at an earlier date. Under the current quarter calendar, SAP is reviewed in late June/early July. Under the new semester calendar, SAP can be reviewed in early June.
 

Aid Distribution Dates

Original (quarter-based) policy: Federal, state and institutional aid is distributed ten days prior to the first day of the quarter.

New (semester-based) policy: Federal, state and institutional aid is distributed ten days prior to the first day of the term.

Changes made to the policy: In practice, distribution dates are now based on the semester calendar.
 

Aid “Lock in” dates

Original (quarter-based) policy: Federal financial aid is “locked” based on the student’s registration as of the 15th day of each quarter.

New (semester-based) policy: Federal financial aid is “locked” based on the student’s registration as of the 15th day of each term.

Changes made to the policy: Text change in policy from “quarter” to “term.” In practice, “lock in” dates are now based on the semester calendar.
 

Semester Library Loans

Undergraduates

Current loan period:                       3 weeks                               3 renewals                          Equivalent to 12 weeks

New loan period:                            3 weeks                               4 renewals                          Equivalent to 15 weeks

 

Faculty/Graduates/Staff

Current loan period:                       1 Quarter                              3 renewals                          Equivalent to 1 year loan period if no holds on item

New loan period:                             1 Semester                         2 renewals                          Equivalent to 1 year loan period if no holds on item                                

No Changes

Cincinnatus Application Deadline

The deadline will not change due to semester conversion.
