Enter a "Did You Know" (DYK) Item


DYKs are entered or edited in the "Manage Did You Know" area of the E-News System. To begin,

  1. log into the system (See "Getting Started");
  2. choose "Manage Did You Know";
  3. search for DYKs (to view or edit) using available fields, or
  4. click "Add New Did You Know; and
  5. follow the instructions noted below.

Preparing to Enter a DYK

  • Identify DYK item.
  • Secure associated image. 
    1. Request photo from Photo Services staff. Be sure to let them know if it’s for a DYK for SLP (135x135 pixels), a DYK for main page (135x70 pixels), or both of these.
    2. Photo staff will check for existing photos.  If none exists, determine if photo shoot should be scheduled.
    3. Photographer crops/prepares images and places finished images in appropriate folder on Hal (University Communications internal Web server).
    4. If you are preparing the image yourself, be sure to locate the original image before cropping to size. Use the "Save for Web" feature in PhotoShop for a smaller file size. 
  • Determine URL to which DYK will link.
  • Determine on which pages the item should appear.
  • Determine start/stop dates for each DYK and each page on which it will appear. Use DYK reports to make determination.
  • DYKs rotate based on start/stop dates and pages on which they're marked to display.
      • If multiple items are listed to appear in same timeframe for same page/location on page, then they will rotate on refresh of browser window.
      • If only one item is listed to appear for timeframe for same page, then only one DYK will appear for that page (no rotation).
      • If no DYK is entered for a particular page for a particular timeframe, space will be taken up by “static” page content that follows the space the DYK would normally take.  

     

    Entering DYK

    Fill in DYK fields as follows.

  • Headline
      • Follow AP Stylebook and UC's Stylebook rules -- capitalize first letter of each word, except for articles and prepositions five letters or fewer, unless they’re the first or last word in headline.
      • SLP headlines - approximately 28 characters per line and no more than 2 lines (headline will automatically break at approximately 28 characters) with a total of no more than eight (8) lines total.
      • Main page headlines - approximately 17-21 characters/line for headline (1 to 2 lines preferable) and 20-25 characters/line for content (Intro Text) with a total of no more than five (5) lines total.
    • Intro Text - Items displaying on Main Page should have SHORT headlines and Intro Text (see above for character counts).
    • Category - Choose a category that most closely represents the information you’re submitting for the DYK.
    • College - You may select multiple colleges by selecting the first college and then using Ctrl + clicking on subsequent college names. (If college/department isn’t applicable, ignore the dropdown list.)
    • Department - You may select multiple departments by selecting the first department and then using Ctrl + clicking on subsequent department names. (If college/department isn’t applicable, ignore the dropdown list.)
    • More Info URL - Enter the URL for the associated Web page.
    • Status - Make item inactive if it’s not ready to go live; otherwise, leave the default “Active” value.
    • Approve if you’re an approver (otherwise, an e-mail will be sent to your approvers upon submission).
    • Layout -  Choose the appropriate layout. You may preview layout types by clicking on the layout name. Each DYK entry may have only one layout per entry. If multiple layouts are needed, DYK needs to be added multiple times so each layout is reflected. If DYK is used on 2nd level AND on main page, it must be entered twice to reflect each use/layout.  See 2nd Level Pages Chart to determine location of DYK items for each page.
      • Left Sidebar - basic DYK that appears in left sidebar area (under navigation) of SLPs. Image must be 135x135 pixels.
      • Left Sidebar Graphic - item that is entirely graphic (rarely used).
      • Right Column - basic DYK that appears in the right-hand column of SLPs. Image must be 135x135 pixels.
      • Right Column Graphic - item that is entirely graphic (rarely used).
      • Main Page - basic DYK that appears on UC main page. Image must be 135x70 pixels.
      • Main Page Graphic - item that is entirely graphic (rarely used).
    • Image - Browse for appropriately-sized image (file size limit is 500 kb) select for upload. If you have difficulty uploading the image from HAL, you may need to move the image from HAL to your own computer first.
    • Image Alt Text - Should briefly describe the image – primary use is for those with limited vision and who are being “read” the Web page.
  • Second Level Pages - Create start/stop times for appropriate SLPs. Use the DYK Report to determine best locations for item. Do not submit item to multiple high-traffic SLPs unless we have a shortage of DYKs.
  • You will see a preview of the completed DYK once you have submitted it. If it's not correct, choose the "Edit DYK" link to make changes (to be added by UCit in 2007). DO NOT USE the BROWSER "BACK" BUTTON. This will cause the system to create a second DYK item.
