Time Off from Work

Automated Time Off From Work (TOFW) Requests Through ESS

A new enhancement has been added to the UC Flex production site.  Effective October 1, 2013 benefits eligible employees (faculty and staff) may initiate Time Off From Work requests through Employee Self Service.  Established workflow will route requests to the appropriate Supervisor for approval and into the Hourly Timekeeper/Salary Leave Approver.

Several pilot departments will begin to utilize the TOFW process October 1, 2013.  Others will start to use it January 1, 2014.  Please check with your department to determine when your department is planning to begin.

Prior to beginning this new process you will want to review the training materials located on the UC Flex Help Website at https://help.ucflex.uc.edu.  

Printable word documents also exist for the Employee, Supervisor and Hourly Timekeeper/Salary Leave Administrator.  

Training Tip
It is recommended that you read all of the documentation before running the simulations. It makes the simulations easier to process.

Employee Instructions

Can be found on the UC Flex Help website by clicking Employee Self Service (ESS). There are 2 training documents created under the “Help Content” through Employee Self Service (ESS) on the UC Flex Help Website.  In the upper right hand side of the screen you will notice that in addition to the “Work Instruction” and “Cue Card” drop down options, there is an additional “Simulation (HTML)” option which displays an “Auto Playback Tutorial” link.  Select this option to view automated workflow step keystrokes.

  1. Labeled “ESS_Request_Time_Off_From_Work” - Document covers the basics (screen overview, reviewing quota balances, and how to submit a request for time off from work in ESS).

Hourly Timekeeper/Salary Leave Administrator Instructions

Management Reports In Development

  • Identify requests approved vs unapproved
  • Timekeeper review
  • Requests to differentiate days in queue from days committed, by individual and org unit
  • Date and time stamped disapprovals and cancellations
  • Exempt vs Non-exempt requests
  • Approved and processed time entered for each month
  • Outstanding leave requests needing approval
  • Audit report similar to the missing time report
