Handbook - Scheduling

Academic Calendar

The Academic Calendar—established by the Calendar and Examinations Committee as a recommendation to the Board of Trustees—is a rolling, four-year planning calendar. Established annually, each academic-year calendar is considered and approved separately. The College of Law and the College of Medicine MD programs establish separate calendars.

The following guidelines are used to establish the University of Cincinnati Academic Calendar:

  • Each quarter has ten (10) weeks of instruction and one (1) week of examinations;
  • Each quarter contains approximately fifty (50) instructional days (Monday through Friday);
  • A new quarter never begins on a Thursday or Friday;
  • A new quarter never begins on a major Jewish holiday (i.e., Yom Kippur, Rosh Hashanah);
  • The University community observes ten (10) holidays in a year (no classes, offices closed). Specific holiday dates are online on the Registrar's Web site.

Classroom Information

Room Assignments

Assigning classroom space is a shared responsibility. The Office of the Registrar assigns general-purpose classroom space on the Clifton campus. Some departments schedule a limited number of seminar/conference rooms. Classroom assignments are recorded in UniverSIS. Approximately one month before classes begin, the Office of the Registrar sends a classroom assignment report to Colleges and departments. Students receive notification of their classroom assignments on their schedule/bills at the time of registration. Contact the individual regional campuses—Clermont, Raymond Walters, and/or Applied Science-to learn about separate assignment procedures.

Room Changes

Because of the tightly scheduled classroom space on the Clifton campus, classroom changes may not always be accommodated. Check first with the department or College staff to discuss a specific room change. If the need cannot be resolved at the departmental or College level, contact the Registration and Scheduling Office for assistance.

Schedule of Classes/Learning Opportunities

The Office of the Registrar publishes the schedule of classes for the next quarter in Learning Opportunities Schedule of Classes. It is published five times annually:

  • Initial Autumn (May)
  • Revised Autumn (August)
  • Winter (October)
  • Spring (January)
  • Summer (March/April)
In addition to the class schedule, Learning Opportunities contains other useful information—registration instructions, fees, examination schedule, and parking information. It also includes a listing of projected course offerings for every quarter of the current academic year to help students plan their schedules for the entire year.

The class schedule is also available through the One Stop Web site or through the Office of the Registrar Web site.

Course Syllabus

Most instructors provide students in their classes with a written syllabus. The course syllabus—given to enrolled students at the beginning of the quarter—may include the following information:

  • instructor's name, phone number, office number, and office hours;
  • short description of the class, including a basic statement of the goals and objectives of the class and the content to be covered;
  • titles and authors of required texts;
  • prerequisites;
  • tentative schedule of class meetings with an indication of topics to be considered, assignment due dates, and examination dates;
  • class attendance policy;
  • pass/fail option;
  • audit policy;
  • withdrawal policy;
  • class grading policy (excluding reference to Student Code of Conduct); and
  • other information pertaining to the class.
Final Examinations and Examination Schedule

Each quarter, the Registration and Scheduling Office publishes a final examination schedule. Final exams cover class material from the entire quarter. Instructors must give final exams according to this printed schedule and during the designated week at the listed times. Typically, instructors proctor examinations in their regular classrooms. Instructors cannot deviate from the published examination schedule without notice to the Registration and Scheduling Office and the approval of the Calendar Examinations Committee. Generally, faculty convenience and unanimous student approval are not considered valid reasons to alter final examination times.

Students with four examinations on one day may reschedule at least one exam. Students with three examinations on a single day may postpone or reschedule one-with an instructor's permission. Direct students who have difficulty rescheduling examinations to their College offices
