Overnight Accommodations for Bearcat Bound Orientation

If you need overnight accommodations, you may stay at Calhoun Residence Hall or you may stay in a local hotel.  Students are not required to stay overnight in Calhoun Hall, but it is recommended.  Parents have the option of staying in Calhoun Residence hall as well, but parents will not room with their student.  Also, please be advised that Calhoun Hall has gender-focused floors with common bathroom and showers, not private in-room bathrooms.  If parents prefer to room together, please understand that one parent will have to travel to the appropriate gender floor for bathroom service. The cost of staying in Calhoun Residence Hall is $35 per night, per person.  Space is limited, and reservations are taken on a first-come, first-served basis.  In order to accommodate all incoming students, parents, and students are limited to a one-night stay in Calhoun Hall. 

To reserve a room in Calhoun Hall, complete the online reservation form at www.uc.edu/orientationFollow the link “Register Online” or complete the appropriate sections on the “New Student Orientation Reservation Form.”  Please make sure that you indicate how many people will be staying in the “Number of Persons” section under “Orientation Fees” and return the form with your payment.

Calhoun Residence Hall

Calhoun Residence Hall, because of it’s location on campus, is a convenient place to stay overnight.  Linen service is not provided so please bring bed sheets or a sleeping bag, a pillow, blanket and towels as needed for a one night stay.  You may unload your overnight luggage curb-side in front of Calhoun Hall (take Calhoun Street to Calhoun Residence Hall on the right) or you may consider it easier to park in CCM Garage or Calhoun Street Garage and carry your overnight luggage the short distance to Calhoun Hall (refer to campus map).  Calhoun Hall does not have storage space or concierge service.  Please leave your luggage in the trunk of your vehicle until check-in time which is between 4:00 p.m. - 8:30 p.m.  You may then check in, pick up your room key and unload you luggage.  Check-out on Day 2 is from 7:00 - 7:45 a.m. The morning session on Day 2 begins at 8:00 a.m. Please allow enough time if you wish to eat breakfast which is on your own.

May students and parents be roomed together for overnight stay in the residence hall?

Students of the same gender will be roomed with other new students randomly.  Parents and guests will be housed with family members or guests if preferred, please indicate this preference on the form.  If not stated on the form, they will be roomed with other parents of the same gender.

May I request single occupancy during my overnight stay in the residence hall?

Due to space constraints, we regret we cannot honor requests for single occupancy rooms.  Students, parents and guests who stay overnight in the residence hall will have a roommate.

Students and their parents who wish to stay in a hotel will find many lodging options, including this one on UC’s East Campus:

Bearcat Bound Orientation Reservation, Fees and Check-in 

It is important that you make your reservations early for your Bearcat Bound Orientation. Some sessions fill quickly and reservations are accepted on a first-come, first-served basis. If you delay, you may not get your first choice. There are two ways to reserve a seat at Bearcat Bound Orientation:

Online Reservation

  1. Go to www.uc.edu/orientation and follow the “Register Online” link to the page that has your unique information.  You can only access this if you have first activated you UC Central Login Username, password and UCID number at “Getting Started”
  2. At the top of the page click on “Orientation Registration.” Select a set dates from the list (some majors may only have one set).
  3. Complete the rest of the online form as needed.
  4. It is recommended that you pay the orientation fees online by credit or by debit card. 
  5. You may also mail a check or money order. To ensure credit to the correct account, please print the student’s full name and UCID number and the words “Online Reservation” on the face of the check or money order.  The UCID number starts with the letter ‘M’ and is located on the reservation form or on your UC Bearcat Bound Card.  
  6. Place in the enclosed envelope and mail to:

Reservation by Mail

Complete the “New Student Orientation Reservation Form”.  It is enclosed with the Bearcat Bound Orientation brochure if you have not reserved your orientation dates online.  The bottom right hand corner of the form lists some of the orientation dates for your college and major. You may go online to see all of the available dates. Write the  top three sets of dates in order of your preference in the provided boxes on the left. (Please Note: some majors may only have one set dates). Complete the Parent/Guest Information on the reverse side of the form as needed. Complete the Quick Start Reservation form if you wish to attend Quick Start on June 6 and you have not registered for it yet. Please mail all forms promptly.

Bearcat Bound Orientation Fees

Students $85
Parents/Adult Guests $45 per parent/guest
Siblings under 12 years old $25
Overnight Accommodations $35 per person/per night

You may pay for orientation by check, money order or credit/debit card. Make check or money order payable to “University of Cincinnati.” To ensure credit to the correct account, please print the student’s full name and UCID number and the words “Online Reservation” on the face of the check or money order.  The UCID number starts with the letter ‘M’ and is located on the reservation form or on your UC Bearcat Bound Card.  Use the enclosed envelope to mail the payment with your orientation reservation form or mail to Orientation Office, University of Cincinnati, PO Box 210090, Cincinnati, Ohio 45221-0090. To pay by credit or debit card please make your reservation online and select the option to pay by credit card.

Reservation Changes

To request a change in your reservation, you must call the Orientation office at (513) 556-2486 at least 48 hours in advance of your scheduled orientation date.  Please note: requested changes are not often accommodated because reservations are made on a first-come, first-served basis.  Dates fill very quickly, and all arrangements are made in advance on the basis of reservations received. 

Late Payments

All fees are due prior to your orientation date.  Payment not received within 30 days of the orientation date, will cause a service block to be placed against the student’s account.   

Cancellations and Refund Requests

If you cannot attend Bearcat Bound Orientation you must send a written request postmarked at least two days prior to your scheduled orientation date, or fax a request to 513-556-3728 at least 48 hours in advance of your scheduled orientation dates.  A refund check will be issued in approximately 3-5 weeks.  There will be a $10 handling fee for all requests that are granted.  We regret that refund requests made less than 48 hours from the scheduled dates will not be granted, as resources will have been reserved and expended on behalf of the expected attendees.

Check-In and Photo ID

At the check-in desk, you will be asked to show a photo ID. Acceptable forms of a photo ID are driver’s license, state ID, military ID or passport.

If you have not taken all your placement tests online or during Quick Start, (see Testing and Quick Start information at http://www.uc.edu/sas/orientation/QuickStartPlacementTesting.html) you should arrive between 8:00-8:45 a.m. at the check-in desk located on the 3rd floor of the University Pavilion (see exceptions below) 

If you have completed all your placement tests prior to your orientation date, your check-in time is 11:30 a.m.- noon ((see exceptions below). The check in desk is located on the 3rd floor of the University Pavilion. (refer to campus map). The afternoon program will begin at 12:30 p.m. promptly.

Check-In Exceptions

  • University Honors Students – you will need to check in between 8:45- 9:45 a.m. for their 10:00 a.m. University Honors Program.  
  • Center Access and Transition (CAT) Students - you are required to have most of your placement tests completed before orientation and may check-in between 8:00-8:45 a.m. If your tests are not completed you will need to check in between 8:00- 8:15a.m. You may complete the reading test at Quick Start or at Bearcat Bound Orientation.
  • CCM Students - please refer to the enclosed insert in your Bearcat Bound mailer or online at http://www.uc.edu/sas/orientation/CCMOrientation.html . If you have any questions please call us at (513) 556-2486.

Bearcat Bound Orientation Parking

  1. The following garages are available for general orientation parking: Clifton Court Garage, Woodside Drive Garage, Campus Green Drive Garage, University Avenue Garage, Varsity Village Garage, Corry Garage and Calhoun Street Garage. Please refer to the campus map for locations and directions to these garages. 
  2. Obtain a ticket (marked “1”) from the machine at the entrance of the garage.  Place the ticket with date and time stamp facing up, on the front driver’s side of your vehicle’s dashboard so that it is visible to parking enforcement personnel. At Orientation check-in you will receive a voucher ticket (yellow on one side and marked “2”). 
  3. To exit the garage, at the machine, first insert the ticket you received from the machine (marked “1”) then insert the voucher ticket (yellow marked “2”) that you received from Orientation check-in.

PARKING FOR GUESTS STAYING OVERNIGHT IN CALHOUN HALL

Only students and parents staying overnight in Calhoun Residence Hall will be permitted to park in the CCM Garage. Overnight guests should obtain a ticket from the machine at the entrance of the garage. When you check-in at orientation, ask for a CCM Garage payment ticket which will allow you to exit at no charge (CCM Garage is reserved for Calhoun Hall’s overnight guests only). You may also park in the Calhoun Street Garage.  Be sure to obtain a voucher ticket in order to exit the Calhoun Street Garage.

ENTRANCES TO THE GARAGES

  • You may enter Campus Green Drive and Woodside Drive Garages by driving from Jefferson Avenue or Clifton Avenue to Martin Luther King Jr. Drive. 
  • You may enter Calhoun Street Garage, CCM Garage, Varsity Village and Corry Garage by driving from Jefferson Avenue to Corry Boulevard.
  • You may enter the University Avenue Garage via Jefferson Avenue to west University Avenue.
