To: Kronos Timekeepers

Subject: Required Action for Timekeepers

As part of the UC Flex implementation, the project team converted employee records into the new UC Flex HR system and set up new Kronos IDs for all Kronos users. As a result of this conversion process you may see a number of additional employees in your organizational unit which require action on your part. Please review the following scenarios and take the appropriate action if they apply in your area.

Additional note: As you know, organizational units will receive automatic e-mail notifications when new employees or employee changes are transferred from the UC Flex system to Kronos. Please be aware that these notifications will begin on June 22.

Scenario 1: New hourly employees hired after June 9

All hourly employee records in HRMS as of June 9 were automatically converted to Kronos. Employees hired after June 9 were not included in the conversion. If these new employees have hours for the previous period, the UC Flex team will manually convert their records into Kronos. However, these employees did not receive an announcement via campus mail to notify them of their new Kronos ID.

Action required: Using the report available in Kronos, called "Name and Kronos ID", please notify these employees of their new Kronos IDs on June 21.

Scenario 2: Existing hourly employees who are new to using Kronos

Generally, students who were formerly on an M2 deduction schedule will begin to track their hours in Kronos. These employees have been set up in Kronos with IDs but additional steps are required to process their hours correctly.

Action required: Change these employees' Pay Rule in Kronos, and if applicable, enter their Schedule, Device Group, and Badge Number. If they are Teletime users, contact the HR Service Center (Cheryl Neal 556-2997) with the employee's name, Kronos ID and phone extension.

Scenario 3: Employees were terminated in Kronos but had active records in HRMS

Even if an employee was terminated in Kronos, if they had an active record in HRMS on June 9 they were set up again in Kronos and UC Flex during the conversion process.

Action required: After confirming that these employees should be terminated, please coordinate to have a Separation PCR submitted for these employees so they can be separated from both the Kronos system and the new UC Flex HR system.
