Shred it!

UC Information Security, Records Management, and the College of Arts & Sciences jointly sponsored "Shred it" on Thursday, November 29th. The program gave faculty and staff a secure, simple way to dispose of paper records in accordance with their respective records retention policies. Staff from UC Information Security and from the shredding company were on site throughout the day to accept boxes, bags, and containers full of paper and to ensure the documents’ destruction.

The program was a 
great success. Arts & Sciences faculty and staff provided more than 550 boxes of material. By event’s end, the shredder had chewed through approximately 16,000 pounds (eight tons) of paper.

Materials that people brought to be shredded included documents that contained social security numbers, student grades, and faculty records dating back to 1954.

In the coming months, UC Information Security plans to work with colleges and departments across the university to hold “Shred it” days for each in turn.

Quoting Valerie Gray Hardcastle, Dean of the College of Arts and Sciences:  "Security issues are generally not anything on which faculty focus during their normal work week. Having a special day dedicated to house-cleaning made it easier for all of us to comply with university and college regulations."

Janice Schulz, University Records Manager, emphasizes, "It's important that offices are adhering to their approved retention schedules and disposing of records accordingly for the purposes of records security and office efficiency. Scheduling a 'Shred it' event is a great way for colleges to accomplish this task and to address any records management issues that they may be facing."

And finally, Kevin McLaughlin, Director of Information Security has said: "The University Retention Policies are provided to ensure that we are operating in accordance with State and Federal requirements. The upcoming ‘Shred it’ events are a way to proactively protect the reputation of the university and safeguard the personal information that many of us are trusted with. These events help to raise awareness and provide a low impact way to help colleges prevent future breaches which could result in a loss of student, faculty, or staff's personal information."
