R25 is governed by stakeholders throughout the university community. Stakeholders meet with UCIT several times a year.

The primary business users (Conference & Event Services; Office of the Registrar; Governmental Relations & University Communications; and Space Management) provide governance for the day-to-day activities of R25. UCIT meets monthly with University Communications to prioritize tasks related to the university implementation of the R25 system, non-academic events and Web calendars. Office of the Registrar provides governance for Academic Events; Conference & Event Services sets priorities and provides tasks for the Online Event Form and Space Management requests tasks as necessary for room utilization.

UCIT holds monthly user group meetings with "power" users from across the university community to provide a forum for discussing usage, enhancements and issues with the system.

The business users request services when needed and the UCIT manager or the UCIT team lead manages the timing and resources needed for each request. All requests, except room changes from Space Management, are entered into a Service Request for tracking purposes. Room changes are recorded and tracked via e-mail.
