In alignment with guidance from the Inter-University Council of Ohio and the American Association of Collegiate Registrars and Admission Officers, the University of Cincinnati (UC) permanently maintains student academic transcript records for all students, which include dates and terms of attendance, advanced standing credit awarded, enrollment history, final grades assigned, hours attempted and earned, per term and cumulative grade point average, academic standing(s), degrees and honors awarded, and other data as UC determines appropriate.
UC’s permanent documentation of a student’s academic enrollment and performance history is determined essential: 1) for UC ’s degree award processes and historical degree verification services; 2) for UC’s compliance with state and/or federal reporting requirements; and 3) to support UC’s adherence with various federal and/or academic program accreditation requirements. Other student-related business process documents maintained by UC academic and/or administrative units are maintained and then destroyed in accordance with UC’s General Records Retention Schedule.
Current and previously enrolled students seeking erasure may request that UC block the public disclosure of student “directory information,” pursuant to the Family Educational Rights and Privacy Act of 1974 (FERPA). In compliance with FERPA, UC does not release student education records to third parties without the student’s signed authorization, or as otherwise permitted or required by law.
