Conference Sponsorship

To assist with internal approvals and sponsorship planning, the following information is provided for current and prospective sponsors of the OHECC Conference.

• 2026 Registered Instiutions List:
  The final list of registered institutions will be emailed to sponsors within two weeks of the conference.
• 2026 Attendee List (Opt-In Only):
  Within 30 days of the end of the annual conference, OHECC will provide sponsors contact information for individuals that registered for that year’s conference. This contact information is limited to – Name, Job Title, Company Name, & Email address that individuals provided when registered.

Lead Generation & Networking

• OHECC does not offer lead retrieval services during the conference. Instead, we focus on encouraging meaningful networking opportunities between sponsors and attendees.
• During the Sponsor Showcase, attendees are encouraged to participate in the Sponsor Scavenger Hunt Game (or similar engagement activities), which promotes interaction and conversation with sponsoring organizations.

Sponsor-Hosted Events:

• Sponsors should not schedule dinners, hospitality rooms, meetings, or other events that overlap with official OHECC conference events or programming. This helps ensure that attendees and sponsors can fully participate in the planned conference experience.

Speaking Opportunities:

• Sponsors are encouraged to share their expertise and insights with the OHECC community by submitting a session proposal. For full proposal guidelines and submission details, please visit our Call for Proposals page.
• Diamond Premier and Platinum Premier sponsorships may submit a proposal with or without a partnering institution. 
• Gold Reserve and Silver Select sponsorships are required to submit proposals in partnership with a registered institution.

Additional Sponsor Representatives

• Each sponsorship level includes a designated number of complimentary sponsor registrations. If your organization plans to bring additional representatives beyond the allotted amount, they may be registered for an additional fee.
• After completing your sponsorship registration, you will receive a confirmation email with instructions on how to register your complimentary representatives as well as any additional staff members.

Conference Refunds and Cancellations by Sponsors

Payment:  Payment of the Fees will be made in U.S currency by credit card payment, by check, or by bank transfer payable to University of Cincinnati, and shall be due and payable within thirty (30) days prior to the OHECC conference.
No Shows: There are no refunds for no-shows

Refunds: If a sponsor cancels more than sixty (60) days before the OHECC conference, the sponsor will not be liable for any fees or charges from OHECC assuming the cancellation was presented in an email sent to the Host Committee General Chairperson.  In the event a sponsor cancels less than sixty (60) days before the OHECC conference starts the sponsor will be responsible for fifty percent (50%) of the agreed upon sponsorship fees.  The cancellation request must be sent via email to the Host Committee General Chairperson.  

The OHECC Host Committee and State Steering Committee reserve the right to cancel your registration without notice for failure to pay as required.

The OHECC Host Committee and State Steering Committee reserves the right to deny sponsorship to any vendor.

Cancellation of travel reservations and hotel reservations is exclusive responsibility of the individual/company registered for OHECC. OHECC is not responsible for any damages, direct or indirect, resulting from any cancelled registration or impermissible substitution.
