Exhibit and Vendor Showcase Details


Sponsoring OHECC provides valuable opportunities to connect with higher education professionals throughout the conference. Exhibit access varies by sponsorship level, with all sponsors receiving at least one dedicated opportunity to showcase their organization.

All sponsors are invited to participate in the Vendor Showcase, the primary exhibit event held on Day 2 (May 15) from 2:30 PM – 4:30 PM in the John F. Savage Basektball Arena. This dedicated time slot has no competing sessions, ensuring maximum visibility, networking, and meaningful one-on-one engagement with attendees.

Conference Access
All sponsorship packages include full conference access. The number of attendee passes included depends on sponsorship level, with the option to purchase additional passes as needed.

Vehicle Unloading

You are welcome to unload at the John F. Savage Arena dock, where staff will be available to assist. Once you’ve unloaded, we ask that you move your vehicle to a parking lot before returning to set up your table.  Long-term parking at the dock is not available.

Parking

Complimentary campus parking is available for conference attendees in the following locations:

  • Parking Areas: 5 & 10
  • Available Dates: May 13–15, 2026
  • Cost: Free

Parking is available on a first-come, first-served basis, and electronic ticketing will be disabled in these designated areas during the conference dates.

This Vendor Showcase is not a traditional expo-style exhibit hall. Vendors will be spaced throughout the arena floor and are welcome to ship in materials to enhance their display. However, exhibit setups are limited to the items listed below, and no additional booth structures or large-scale displays will be provided by the host.

Packages may be delivered to the University of Toledo X business days prior the event. To ensure that your materials are stored and delivered properly, please include the following information on all packages:

Each company has been allotted a number of complimentary registrations based your level of commitment. All exhibitors must register through the conference website, using the promo code provided via a previously sent email, with subject: "OHECC 2026 Sponsorship - On-site Staff Registration". 

If you wish to bring additional staff above the allocated complimentary staff, they can register at the reduced rate of $250.00 on or before April 24. The final day to register staff for a smooth conference check-in is May 1.

Vendor Instructions

As part of the Vendor Showcase, we will be hosting a QR Code Scavenger Hunt through the Guidebook App to encourage attendee engagement and networking.

Here’s how it works:

  • Diamond and Platinum Premier sponsors will each receive a unique QR code to display at their exhibit table.

  • In addition, a selection of Gold Reserve and Silver Select sponsors will also be randomly chosen to participate. Attendees will not be informed in advance which exhibit tables have a QR code

  • Attendees will visit participating sponsor tables to scan the QR code, which will reveal a portion of an image within the Guidebook App.

  • Attendees who successfully scan all QR codes and unveil the complete image will be entered to win a prize.

What we need from you:

  • Display the provided QR code clearly at your table during the Vendor Showcase.

  • Encourage attendees to scan the code and engage in conversation—it’s a great opportunity to connect and network.
